Frequently asked questions
How and when do I implement lean?
In simple terms, Lean is about continually improving your business, so it should be part of the business activities from the start. If there is now formal method to make and sustain improvements in the current business then the leadership should be looking to implement as soon as practical.
How Lean is implemented will depend on a number of factors including how big the change is, how urgent is the change, what resources are available etc. While change project or cultural change may take time and resource, small changes can be done immediate and will minimal impact to the running of the business.
It's a good idea to have an expert assess the current situation and work with you to create an implementation roadmap to minimise the business impact and maximise the benefits.
How long before I see the results of lean implementation?
In short, the answer to this question is 'it depends'. Large Lean projects should be limited to no more than 3 months with results being seen up to 6 months from the start of the project. Alternatively, small improvements can be implemented immediately with minimal effort and cost. These result will be smaller but will be seen as soon as they are implemented.
Can it be done remotely?
True Lean culture is done with the people and focusses on the process efficiency. The location of staff does not limit the ability to improve the process. There are some improvements area that will require the team to be at on location. This could include creating a lean layout, improving the changeover of a machine. Where processes are office based, implementation can be done fully remotely.
What are the rules to follow when implementing lean?
Some key rules to remember include:
-
Create a plan to implement
-
Focus on delivering value to the customer
-
Include the people who do the process in brainstorming improvements
-
Expect to get it wrong sometimes
-
Keep it simple
-
Have fun
Does my whole team need to be available?
No. Small changes can be made in small groups and then shared. Ultimately, Lean is about every person, every day making small improvements. So Lean might start with a small group but the aim is to have every making improvements as part of their job.
Do I need to shut down operations or cancel all meetings to implement lean?
Implementing Lean doesn't have to dramatically impact the business, especially when focussed on small improvements. However, some businesses have taking the approach of booking an amount of time such as one day per month, to running a 'blitz' dedicated to implementing improvements. This leads to great results and can be planned properly to ensure success.
Does becoming “lean” mean reducing my team and reducing outputs?
Implementing Lean will make the processes safer, improve quality, improve efficiency and reduce costs. This will give the business options as to the best way to reinvest the benefits for growth.
A more efficient process could increase the output with the same labour and time, or it could use the spare time to make a different product or service. Having staff who are not stressed and rushing, could allow them to better serve the customer and improve the customer experience, This in turn increases customer retention and value of the product/service.
When will I start to see the ROI in my business?
It is important to expect that in the first stage of implementation there will be an investment cost without an immediate benefit. Business leaders must ensure that the improvement are implemented fully during this time. Many businesses only partly implement the solutions and then give up before the benefits can be seen.
It is also important to analyse and plan the implementation to identify the best improvements to make. These should have high benefit with minimal effort and quick ROI.
What if I change my mind and want to stop?
When we hear people saying that they want to stop Lean or 'Lean doesn't work" we ask them why. the response is usually to do with not seeing the benefits, or its too hard to do. When we look into it more, there has been problems with the implementation such as picking the wrong problems, not finding the root cause of issues, or not completing the actions identified.
Lean is a methodology to systematically find problems and make improvements. If a business wants to stop, we would suggest getting an expert in to help create a plan that will work for the business.
